Welcome to TeamSync
TeamSync helps teams plan, track, and deliver projects without the complexity. Whether you're managing a marketing campaign, product launch, or event planning, TeamSync keeps everyone aligned and accountable.
This guide will help you get started and make the most of TeamSync's features.
Getting Started
Creating Your Account
- Go to teamsync.app and click Sign Up
- Enter your work email and create a password
- Verify your email address (check your inbox for a confirmation link)
- Complete your profile with your name and role
Pro tip: Use your work email so teammates can easily find and add you to projects.
Your First Project
Projects are how you organize work in TeamSync. Think of a project as a container for all the tasks, files, and conversations related to a specific goal.
To create your first project:
- Click the + New Project button in the sidebar
- Give your project a name (e.g., "Q1 Product Launch")
- Add a brief description of what you're trying to accomplish
- Choose a color to help you visually identify this project
- Click Create Project
You'll immediately see your new project workspace with three main sections: Tasks, Files, and Activity.
Inviting Your Team
Great work happens together. Here's how to bring your team into TeamSync:
- Open your project
- Click the Members tab at the top
- Click Invite Team Members
- Enter email addresses (you can add multiple at once, separated by commas)
- Choose their permission level:
- Admin: Can change project settings and manage members
- Member: Can create and edit tasks
- Viewer: Can see everything but can't make changes
- Click Send Invitations
Your teammates will receive an email invitation with a link to join your project.
Best practice: Start with a small core team, then expand as the project grows. Too many cooks can slow things down early on.
Working with Tasks
Tasks are the building blocks of your projects. Each task represents something that needs to get done.
Creating a Task
- Click + Add Task in any project
- Enter a clear, action-oriented title (e.g., "Draft email copy" not just "Email")
- Press Enter to create the task
That's it! You've created a task. But let's make it even more useful.
Adding Task Details
Click on any task to open its detail view, where you can add:
Assignee: Who's responsible for completing this task?
- Click the person icon
- Select a team member from the dropdown
- Only one person can be assigned per task (keeps accountability clear)
Due Date: When does this need to be done?
- Click the calendar icon
- Select a date
- Tasks due within 3 days appear highlighted in your task list
Priority: How urgent is this?
- Click the flag icon
- Choose High, Medium, or Low
- High-priority tasks appear at the top of your list
Description: Any additional context or instructions?
- Use the description field to add details, links, or requirements
- Format text with the toolbar (bold, bullets, links)
Checklist: Break down complex tasks into smaller steps
- Click Add Checklist
- Add individual items
- Check them off as you complete each step
Task Statuses
Every task has a status that shows where it is in your workflow:
- To Do: Not started yet
- In Progress: Currently being worked on
- Review: Done but needs someone to check it
- Complete: Finished and approved
To change a task's status:
- Drag and drop the task between columns (Board view)
- Or click the status dropdown in the task detail view
Organizing with Labels
Labels help you categorize and filter tasks. Common uses include:
- Type of work: Design, Development, Marketing, Content
- Departments: Sales, Engineering, Operations
- Themes: Bug Fix, Feature Request, Documentation
To add labels:
- Open a task
- Click Add Label
- Create a new label or select an existing one
- Add multiple labels to any task
To filter by label:
- Click the filter icon in your task list
- Select one or more labels
- Only tasks with those labels will appear
Views: Different Ways to See Your Work
TeamSync offers three views to help you visualize your work differently:
List View
Shows all tasks in a simple, scannable list. Great for reviewing what's coming up and making quick updates.
Best for: Daily check-ins, reviewing due dates, bulk updates
Board View
Displays tasks in columns by status (To Do, In Progress, Review, Complete). Drag tasks between columns to update their status.
Best for: Understanding workflow bottlenecks, managing active work, team standups
Calendar View
Shows tasks plotted on a calendar by their due dates. See what's due this week and spot scheduling conflicts.
Best for: Planning deadlines, avoiding overload, scheduling work
Switch between views using the icons in the top-right corner of any project.
Collaboration Features
Comments and Discussions
Keep all conversation about a task in one place:
- Open any task
- Scroll to the Comments section
- Type your message
- @mention someone to notify them (e.g., "@Sarah can you review this?")
- Click Post Comment
Team members get notified when they're mentioned and can respond directly in the thread.
When to use comments:
- Ask questions about requirements
- Request feedback on work
- Share updates on progress
- Link to relevant resources
File Attachments
Attach relevant files directly to tasks or projects:
On a task:
- Open the task
- Click Attach File or drag and drop
- Files appear in the task details for easy access
On a project:
- Go to the Files tab
- Click Upload or drag and drop
- Files are organized by upload date
- Use folders to create structure (click New Folder)
Supported file types: Images, PDFs, documents, spreadsheets, presentations (up to 100MB per file)
Notifications and Staying Updated
TeamSync keeps you informed without overwhelming you.
What Triggers a Notification
You'll be notified when:
- Someone assigns you a task
- Someone @mentions you in a comment
- A task you're assigned to is updated
- A task you created is completed
- A task you're watching has activity
Managing Notifications
Customize your notification preferences:
- Click your profile icon (top-right)
- Select Notification Settings
- Choose how you want to be notified:
- In-app only
- Email summaries (daily or instant)
- Desktop notifications (requires browser permission)
- Save your preferences
Pro tip: Set up a daily email digest instead of instant notifications to reduce interruptions while staying informed.
Activity Feed
See everything happening in your projects:
- Click the Activity tab in any project
- View a chronological log of all changes
- Filter by type: tasks created, status changes, comments, file uploads
Automation with Task Templates
Save time on recurring work by creating task templates.
Example use cases:
- Onboarding new team members
- Monthly reporting cycles
- Event planning checklists
- Content publication workflows
To create a template:
- Create a task with all the details you want to reuse
- Click the three-dot menu on the task
- Select Save as Template
- Name your template
- Next time, click New from Template to instantly create a pre-filled task
Search and Filtering
Find anything in TeamSync quickly:
Global Search (top bar):
- Search across all projects
- Finds tasks, files, and comments
- Use quotes for exact phrases: "final draft"
Advanced Filters (within a project):
- Filter by assignee, status, priority, or label
- Combine multiple filters
- Save frequently-used filter combinations
Keyboard shortcut: Press / to open search from anywhere.
Tips for Success
For Project Managers
- Create task templates for recurring workflows
- Use Board view during team meetings to review progress
- Set due dates for everything to maintain momentum
- Review the Activity feed daily to catch issues early
For Team Members
- Check your assigned tasks each morning
- Update task statuses as you progress (keeps everyone informed)
- Use comments instead of email for task-specific questions
- Set realistic due dates and speak up if you need more time
For Teams
- Establish a consistent labeling system everyone understands
- Hold a 10-minute daily standup in Board view
- Use checklists to break down complex tasks
- Celebrate completions in comments to build team morale
Troubleshooting Common Issues
I can't see a project I was invited to
- Check your email for the invitation and click the link
- If you already have an account, make sure you're logged into the correct one
- Ask the project admin to resend the invitation
Task notifications aren't working
- Check your notification settings (Profile → Notification Settings)
- Verify your email address is confirmed
- Check your email spam folder
- Enable browser notifications in your browser settings
Files won't upload
- Check file size (max 100MB per file)
- Verify you have permission to add files to this project
- Try a different browser or clear your cache
- Check your internet connection
Can't drag tasks in Board view
- Make sure you have Member or Admin permissions
- Try refreshing the page
- Disable browser extensions that might interfere with drag-and-drop
